We are seeking an Executive Assistant to join our team in the Advertising industry located in Richmond, Virginia. This role offers a short term contract employment opportunity. The Executive Assistant will be entrusted with various responsibilities that revolve around managing schedules, preparing for meetings, and providing technical support among others.

Responsibilities:

• Managing the executive schedule and acting as a liaison for the Senior Leadership Team
• Handling meeting preparation, which includes setting agendas, ordering food, reserving conference rooms, and sending calendar invites to attendees
• Greeting office visitors which may include clients and vendors
• Handling and routing mail and packages, coordinating incoming and outgoing deliveries
• Answering phones, directing callers, and assisting callers with specific questions or needs
• Running errands as needed, providing basic technical support for computers, phones, email, and iPhones
• Arranging travel logistics, including flights, hotel, rental car, and other necessary arrangements
• Placing necessary supply orders
• Maintaining central files for all vendors
• Assisting in planning company events, meetings, and employee team-building activities or special projects
• Performing other duties as assigned• Proven experience as an Executive Assistant in the advertising industry
• Proficiency in software and systems including ADP - Financial Services, Cisco Webex Meetings, Concur, CRM, Kronos Timekeeping System, and About Time
• Demonstrated ability to manage calendars and schedule appointments and meetings
• Excellent communication skills, both written and verbal
• Experience in handling conference calls and correspondence
• Familiarity with organizing executive meetings and providing support to executive leadership
• Expertise in answering multi-line phone systems
• Ability to work independently and prioritize tasks effectively
• High level of discretion and confidentiality
• Strong organizational skills and attention to detail
• Ability to work under pressure and meet tight deadlines
• Bachelor's degree or equivalent experience in a related field.
