Overview:

The Contracts Administrator is responsible for drafting, reviewing, and managing client and consultant contracts, with a particular emphasis on developing accurate scopes of work. This role ensures that project agreements are clearly defined, aligned with firm standards, and support successful project delivery. Working closely with firm leadership and project managers, the Contracts Administrator tailors scope language from templates, identifies risks, and tracks contract execution.

Essential Duties and Characteristics

  • Draft and customize scopes of services for client and consultant contracts using firm templates.
  • Interpret RFPs, proposals, and project requirements to translate into contractual deliverables.
  • Review contracts for consistency, accuracy, and compliance with firm standards.
  • Coordinate with principals, project managers, and consultants to confirm scope and responsibilities.
  • Manage contract lifecycle: routing for review/signature, tracking status, and maintaining records.
  • Provide contract-related support during negotiations, flagging issues for leadership review.
  • Maintain and update standard contract language, templates, and scope libraries.
  • Review and approve project expenses against contract.

Experience Required:

  • Bachelor’s degree in Architecture, Construction Management, Business, or related field. (Preferred)
  • 3–7 years of experience in contracts administration, preferably within architecture, engineering, or construction industries.
  • Familiarity with AIA contract documents and public agency requirements.
  • Strong writing and editing skills, especially for technical scope language.
  • Detail-oriented with excellent organizational and time-management skills.
  • Ability to balance multiple contracts and deadlines simultaneously.

Skills

  • Experience writing scopes of work for civic, educational, or commercial projects.
  • Knowledge of risk management and basic legal terminology.
  • Strong communication skills for coordinating with both internal teams and clients.

  • Communicate effectively with principals and project managers to clarify scope questions.
  • Handle sensitive contract information with discretion and confidentiality.
  • Meet deadlines reliably to keep projects moving forward.
  • Adapt to occasional support tasks, such as proposals or document coordination.

Job Type: Part-time, minimum 25 hours per week, in-office position.

Compensation and Benefits:

  • We offer a competitive compensation package with generous benefits.
  • Pay range $38/hr - $41/hr based on experience.
  • We greatly support work-life balance, and reasonable schedule flexibility. Our company culture strongly encourages employees to spend personal time with those they care about, doing what they love, without feeling the need to work on their personal time. We set healthy boundaries of no work outside the hours of 7am to 7pm on weekdays and no work on weekends. Please note this also means that your desired schedule must fit within the boundaries of 7am-7pm on weekdays only.
